ABOUT PROTECTING YOUR PERSONAL INFORMATION:

In providing your personal data necessary for the effective booking and payment of your travel arrangements, or to join any of our distribution lists you are consenting for us to use and store this data for those limited purposes and to assist you with future travel planning. We follow the privacy policies of Trevello Group Inc. and augment them as follows:

We attempt to collect the minimum amount of personal information to effectively work with you and conduct travel arrangements on your behalf. For example, if you are asking us to contact you, we will ask for your name, email address and telephone number, or your email address and name if you want to be added to our distribution lists of services offered, travel information, and promotional offerings.

You may be asked to provide detailed personal information necessary for booking travel in your name. This can vary by travel supplier need and in providing this information you consent to us providing it to the supplier for purposes of making travel arrangements for you. This information may include your full name, date of birth, citizenship, gender identity, travel loyalty program details, passport details, phone numbers, email addresses and other identifying information. Frequently you will also need to provide emergency contact information while travelling. This information is stored electronically on client databases at Trevello Travel Group Head Office in a password protected computer, in a secured office with limited access, various supplier distribution systems, like Sabre GDS (Global Distribution System) that are also password protected and otherwise secured. You have the right to know where your information has been shared and stored upon request.  Some of your personal data may not be stored on servers located in Canada depending upon the operations of the respective travel Supplier used for your travel arrangements. We also utilize Odoo to operate many of our communication and client management systems. This data is secured by password and stored on Odoo servers that may be located offshore or in the United States of America. We do not share your personal information with anyone outside of our business or with suppliers for purposes of booking, reserving, or purchasing travel related services in your name or for your use.

Information provided by us to suppliers of your travel will have their own policies about protecting your personal information. You can generally review supplier policies around protecting your personal information on their respective websites or their brochures or other documentation.

Additionally, some basic personal information like address, email address, email communications with you, personal preferences and travel interest, Invoice tracking and accounting information may be stored in our offices’ computers.  These too are password protected computers and have limited access. We take protection of your personal information seriously and all reasonable precautions are taken to protect your information from accidental loss, use, and disclosure.

If you are concerned about us continuing to store contact records beyond your current travel planning, please let us know in writing and we can delete this information. Itinerary and accounting documentation for travel booked is retained for 7 years to comply with accounting audit regulations. In destroying and eliminating date, hard copies are shredded, and electronic data permanently erased from computer storage devices. Personal information stored by us and not required for auditing timeframes will be eliminated if the businesses ceases, you instruct us in writing, or as part of normal business operations to limit data storage.

INFORMATION THAT YOU MAY OPTIONALLY PROVIDE: We may also ask in person, by email, or through forms, for information relevant to tailoring current or future travel services to your needs and desires. This might include special celebration dates like anniversaries, information about your future travel planning, travel interests and preferences, loyalty card information not relevant to your current booking and planning activity or other travel related information to help tailor our services and serve you better when booking with us in the future.
